Job Description

GENERAL SUMMARY:

The Marketing Specialist provides hands-on operational, administrative, and creative support to keep the marketing team running smoothly. This role blends project coordination, event support, digital content updates, and social media reporting to help campaigns and daily operations move forward. The ideal candidate is highly organized, resourceful, and comfortable juggling multiple priorities in a fast-paced environment.

ESSENTIAL FUNCTIONS:

Marketing Team Support

  • Track project workflows, timelines, and deliverables to support efficient execution across campaigns, content, and events.
  • Maintain core marketing operations, including weekly reports, team dashboards, shared drive organization, and recurring internal communications.
  • Pull and compile all marketing performance data, locating key metrics and data points needed for regular reporting.
  • Maintain organized libraries of templates, logos, and creative assets.
  • Manage public and internal brand inquiries, escalating complex issues when necessary. Analyze brand inquiry trends to improve communication, accessibility, and self-service support, such as FAQs and templates.
  • Assist in the monitoring of social media platforms like comments and direct messages across social channels, responding or routing inquiries as appropriate. Flag time-sensitive or sensitive interactions for review and escalation when needed.
  • Assist with routine and urgent website content updates, including alerts and time-sensitive messaging as needed
  • Help document workflows, specifications, and reference materials related to digital tools and content updates.
  • Assist with pre-event and on-site logistics for programs such as National Convention, youth programs, and sponsorship activations. Coordinate signage, materials shipping, registration materials, vendor communication, and internal timelines related to such events.
  • Ability to resize, format, and prepare graphics for digital, print, and event use while following brand standards as needed
  • Identify and implement process improvements that boost productivity and reduce inefficiencies.

Administrative Support

  • Manage division calendars, schedule meetings, and coordinate logistics such as travel, accommodations, AV support, and catering.
  • Support general office needs, including shipping, supply inventory, mail handling, and file organization.
  • Help track budgets, process invoices, submit check requests, and prepare expense reports.
  • Perform additional duties as assigned.

REPORTING RELATIONSHIP (reports directly to): Deputy Director – Marketing

MINIMUM SKILLS REQUIRED FOR ESSENTIAL FUNCTIONS (Select only one under each category):

Education/Technical Knowledge:

Bachelor’s Degree required in Marketing, Sales, Business Administration, or a related field.

Additional Skills Needed:

  1. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook); advanced PowerPoint and Excel skills preferred.
  2. Working knowledge of graphic design tools such as Canva and Photoshop.
  3. Familiarity with social media platforms and basic reporting or analytics tools.
  4. Experience updating website content or using a content management system preferred.
  5. Excellent written and oral communication skills.
  6. Strong organizational skills with the ability to prioritize and complete multiple tasks accurately and on time.
  7. Resourceful, research-minded problem solver who knows how to find answers.
  8. Professional attitude and the ability to work effectively with people at all levels.
  9. Handles pressure well in a fast-paced environment.
  10. Able to work and plan independently.
  11. Willing and able to travel for meetings, conferences, and event execution as required.


Experience:

One to three years of relevant experience in marketing, communications, or a related support role.
