Job Description Summary:

The Office of Graduate and Postdoctoral Affairs ( OGPA ) works to advance graduate and postdoctoral programs and enhance the graduate student and postdoctoral fellow experience at George Washington University. Its mission is to provide support to students, postdoctoral fellows, staff, and faculty engaging in graduate-level work and research by establishing and facilitating communication and cooperation among GW schools and colleges that support graduate education, and by providing guidance for graduate students and postdocs to ensure academic success, professional growth, and wellness. Through these efforts, OGPA is committed to fostering a greater sense of community and connection for graduate students and postdocs by creating engaging and valuable experiences. OGPA includes the Office of Postdoctoral Affairs ( OPA ), the Office of Graduate Affairs ( OGA ), and the Office of Graduate Student Assistantships and Fellowships ( OGSAF ).

OGSAF’s mission is to provide exemplary graduate student services in the areas of graduate funding and support. Our office’s commitment empowers our students to achieve professional and academic goals in the nation’s capital and beyond.

Reporting to the Supervisor of OGSAF , the Program Associate, OGSAF vets and processes all Graduate Assistantships at GW. This includes the enforcement of the policies related to assistantships, as well as ensuring the payment of stipends, wages, and health insurance subsidies for graduate students. The incumbent assists in the content maintenance of the office website and event planning in collaboration with other team members at OGSAF and sister offices: the Office of Postdoctoral Affairs ( OPA ), and the Office of Graduate Affairs ( OGA ).

Specific duties include the following:

  • Oversee and coordinate GA appointments; vet rules and regulations, and determine eligibility and suitability. Provide fiscal oversight for award calculations and payments, working with Payroll and other university offices to ensure process efficiency. Process graduate aid award letters in consultation with the Supervisor of the office.
  • Act as a primary point of contact for graduate students with questions about financial aid and awards.
  • Hold virtual advising sessions with graduate students who seek funding.
  • Perform tuition award coding in Banner.
  • Coordinate graduate fellowship events such as the NSF Graduate Research Fellowship Program resource event.
  • Manage monthly OGSAF student and staff newsletters.
  • Coordinate union information and graduate assistant position data requests.
  • Conduct research to inform new policy proposals.
  • Prepare drafts of new policies and update existing policies as needed.
  • Assist with policy-related correspondence across university departments and schools.
  • Conduct surveys of GW schools and other universities as needed.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

The ideal candidate is self-initiated, detail-oriented, and possesses significant problem-solving skills and interpersonal skills. Ability to manage work effectively at high peak periods and the ability to interact with all levels of administration, faculty, and graduate students. Strong presentation and communication skills are preferred. The individual should be able to work both independently and collaboratively with a team.

Experience in the following areas preferred:

  • Strong organization and time management skills
  • Strong customer service skills
  • Strong interpersonal communication skills
  • Strong knowledge of Microsoft tools, Google Drive, Banner
  • Experience with graduate awards and higher education
  • Experience with event planning
  • Adaptability and willingness to learn
  • Website and social media maintenance

Hiring Range $52,741.91 - $72,476.48
