Job Description

Position Summary:

The Outbound Logistics Specialist is responsible for coordinating and executing all outbound logistics operations to ensure the timely and efficient delivery of products to customers. In addition, this role will process and manage credit memos as required to resolve shipment discrepancies, customer claims, or billing adjustments for outbound logistics activities.


Key Responsibilities:

  • Coordinate and manage outbound shipments to customers, dealers, and distribution centers.
  • Schedule transportation and select carriers based on cost, service, and reliability.
  • Monitor shipment status and proactively resolve any issues or delays in transit.
  • Prepare and process shipping documentation (BOLs, shipping labels, customs documentation, etc.).
  • Communicate and collaborate with internal departments (Sales, Warehouse, Customer Service) to ensure accurate and timely order fulfillment.
  • Maintain records of shipments, inventory movements, and freight costs for reporting and analysis.
  • Liaise with third-party logistics providers and freight forwarders as needed.
  • Ensure compliance with company policies, safety standards, and relevant regulations regarding outbound logistics.
  • Identify and recommend process improvements to enhance accuracy, efficiency, and cost-effectiveness.
  • Manage and track freight claims, returns, and customer complaints as necessary.
  • Prepare, issue, and document credit memos in response to shipment discrepancies, overcharges, damaged goods, or agreed customer adjustments.
  • Ensure all credit memo transactions are fully documented and follow company approval and audit procedures.


Qualifications:

  • Minimum 2-3 years of experience in outbound logistics, shipping, or transportation coordination.
  • Experience with customer claims or credit memo processing is a plus.
  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent communication and problem-solving abilities.
  • Proficiency in logistics software, shipment tracking tools, and Microsoft Office Suite.
  • Ability to work independently and as part of a team in a fast-paced environment.
