Litigation Legal Assistant – Commercial Litigation
A well-established, growing mid-sized law firm in Chicago is looking for an experienced Litigation Legal Assistant to join our team and support our busy commercial litigation practice. Key Responsibilities:
- Provide comprehensive administrative and executive support to 3–4 attorneys in the commercial litigation practice group.
- Prepare and process legal documents and pleadings, including complaints, discovery, summonses, orders, subpoenas, notices, motions, and affidavits, ensuring accuracy and compliance with court requirements.
- Electronically file documents in both Federal and Circuit Courts (including collar counties).
- Coordinate process servers and court reporters.
- Transcribe briefs and correspondence using electronic dictation tools.
- Review and prioritize incoming emails and correspondence; reply as directed regarding scheduling, billing, or other administrative matters.
- Organize and maintain physical and electronic files for attorneys; ensure correspondence and legal documents are filed appropriately.
- Support new client/matter onboarding and assist with client engagement letters.
- Proactively manage attorneys’ diaries, calendars, and court dates using Microsoft Outlook.
- Step in to provide reception coverage on an as-needed basis.
- Perform additional tasks as assigned.
Required Skills and Qualifications:
- Minimum 7 years of legal secretarial/assistant experience in commercial litigation.
- Exemplary knowledge of court e-filing systems, including Odyssey and CM/ECF.
- Familiarity with area county clerk websites (Cook, DuPage, Kane, Lake, McHenry, Will), local judges’ Standing Orders, and court forms retrieval and management (experience with NetDocuments a plus).
- Highly skilled in preparing briefs, citing case law, trial preparation, and legal research on court rules/regulations.
- Advanced technical proficiency, including Microsoft Word 365 (styles), Outlook (email/calendar/contact management), and PDF manipulation (text edits, merging pages, format conversions); typing speed of 70–80 wpm with a high degree of accuracy.
- Strong capabilities in Excel, PowerPoint, legal billing/time-entry systems (E55), machine transcription software (Winscribe), document comparison (Workshare Compare), and document management (NetDocuments). Familiarity with Calendly, Zoom, Microsoft Teams, and office equipment (fax, scanner, copier).
- Outstanding command of the English language; excellent written and verbal communication, attention to detail, proofreading, and organizational skills.
- Proven ability to manage competing priorities and multiple deadlines; collaborative, client-focused approach.

Compensation & Benefits:
- Salary range: $65,000–$85,000, commensurate with experience.
