Nelson Mullins, an AM Law 100 firm is currently seeking an experienced Legal Administrative Assistant to join our Chicago office in support of the Midwest Commercial Litigation Team. This role provides comprehensive administrative and clerical support in a fast‑paced legal environment and is well suited for a detail‑oriented professional who is organized, responsive, and committed to delivering high‑quality client service.


*HYBRID ROLE AFTER 90 DAYS*


Duties of this position include maintaining electronic files in NetDocs; drafting, formatting, editing, and proofreading legal documents; and handling electronic filings and downloads in state and federal court systems. The Administrative Assistant analyzes pleadings and court orders, processes docketing requests using the Firm’s docketing software, and manages incoming mail and correspondence. Additional duties include scheduling meetings and conference calls, maintaining attorney calendars, entering and reviewing time entries, assisting with billing and accounts receivable, preparing expense reports, performing conflict checks, opening and closing client matters, preparing engagement letters, and coordinating attorney travel.


The ideal candidate brings a strong law firm background and the ability to thrive in a fast‑paced, deadline‑driven litigation environment. This individual is highly organized, detail‑oriented, and resourceful, with excellent written and verbal communication skills and a professional demeanor. Strong analytical and multitasking skills, a solid work ethic, and familiarity with legal billing practices are essential, along with comfort using technology and an aptitude for learning new systems and software.

  • 3–5 years of administrative assistant experience supporting attorneys in a law firm environment
  • At least 3 years of civil litigation experience in state and federal court
  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint


Salary/ Wage Range - $70,000- $95,000 annually. In addition to base pay, employees may be eligible for merit-based raises and benefits such as healthcare, retirement plans and paid time off.
