Position Summary
The HR Coordinator provides administrative and operational support to the Human Resources team, with a primary focus on recruiting coordination, onboarding logistics, employee training administration, and HR program support. This role works closely with the Learning & Development Specialist and HR Generalists to deliver a seamless employee experience from candidate recruitment through onboarding and ongoing development.
The HR Coordinator is responsible for scheduling interviews, coordinating onboarding activities, maintaining employee records, supporting training initiatives, and ensuring HR processes are executed accurately and efficiently. This position requires exceptional organization, attention to detail, customer service, and the ability to manage multiple priorities while maintaining confidentiality.
This position reports to the Director of Human Resources and will be based full-time in Nibbi’s San Francisco office.
Essential Functions
- Assist the Learning & Development Specialist with training administration, including scheduling training sessions, tracking attendance, maintaining training records, and coordinating training logistics.
- Support recruiting efforts by coordinating interviews, scheduling candidates and hiring teams, preparing interview materials, and facilitating communication throughout the hiring process.
- Coordinate onboarding activities for new hires, including orientation scheduling, new hire paperwork, pre-employment requirements, system access requests, and first-day logistics.
- Maintain employee records, HR databases, organizational charts, training files, and onboarding documentation.
- Respond to employee inquiries and direct employees to appropriate HR resources.
- Prepare HR communications, reports, presentations, and meeting materials as needed.
- Coordinate employee events, training sessions, wellness activities, and employee engagement initiatives.
- Ensure accurate and timely completion of HR administrative processes while maintaining strict confidentiality.
- Communicate effectively with employees, candidates, managers, instructors, and external partners.

Responsibilities
Learning & Development Support
- Support training registration, scheduling, attendance tracking, and logistics.
- Maintain training records, certifications, and employee training profiles.
- Coordinate training locations, materials, refreshments, and vendor logistics.
- Assist with reporting related to compliance training and certification renewals.
- Support Learning & Development initiatives and employee development programs.
Recruiting Support
- Schedule interviews and coordinate calendars between candidates and hiring teams.
- Communicate interview details and logistics to candidates.
- Assist with job posting administration and applicant tracking activities.
- Coordinate candidate travel, assessments, and recruiting events as needed.
- Support offer letter preparation and pre-employment processing.
- Maintain recruiting records and candidate tracking reports.
Onboarding Support
- Coordinate new hire orientations and onboarding schedules.
- Prepare onboarding materials and welcome communications.
- Monitor completion of onboarding tasks and required paperwork.
- Coordinate equipment, workspace, technology, and building access requests.
- Ensure employee files are accurately established and maintained.
HR Administration
- Assist with HR reporting, data entry, audits, and recordkeeping.
- Maintain HR files and documentation in compliance with company policies.
- Support employee engagement activities and company events.
- Assist with special projects and HR initiatives as assigned.
- Perform other related duties as needed.
Qualifications
- Bachelor’s degree in Human Resources, Business, or a related field preferred; equivalent experience may be considered.
- One to three years of administrative, recruiting coordination, HR support, or related experience preferred.
- Experience coordinating schedules and managing multiple priorities in a fast-paced environment.
- Strong customer service mindset and ability to build positive relationships.
- Ability to handle sensitive and confidential information with professionalism and discretion.
- Construction industry experience is a plus but not required.
- HR certification (SHRM-CP, aPHR, or similar) is a plus.
Required Skills

- Microsoft Office Suite proficiency, including Outlook, Word, Excel, and PowerPoint.
- Experience with HRIS systems and applicant tracking systems preferred (ADP experience a plus).
- Ability to learn new systems and processes quickly.

The expected salary range for this role is between $38 and $40 per hour, depending on experience.
