Role Summary
We are seeking a highly organised and proactive Proxy Product Owner (PO) to support the successful planning, execution, and delivery of product increments in collaboration with cross-functional teams. This role will work closely with Product Owners, Developers, Testers, Release Managers, and Business Stakeholders to ensure features are clearly defined, delivery is on track, and releases meet business expectations.
This is a hands-on delivery role with responsibility across the Agile development lifecycle — from backlog refinement to sprint planning, UAT triage, and go-live preparation.
Key Responsibilities
Planning & Sprint Management
- Define sprint capacity and allocate story points per release based on historical velocity.
- Plan upcoming sprints by coordinating with developers, testers, and other POs.
- Write and refine user stories with clear acceptance criteria.
- Review and validate stories written by other POs.
- Participate in all sprint ceremonies, including Sprint Planning, Daily Stand-Ups, Retrospectives, and Demos.
- Conduct backlog grooming sessions with the team.
- Review developer demos and approve user stories through high-level validation testing.
- Prepare and lead internal and external sprint demos.
- Identify configurations and setup tasks that can be handled prior to go-live.
- Triage UAT issues and advise on severity and priority.
- Coordinate with Testing Leads to manage open bugs and plan fixes for release.
- Assist Release Managers by providing PO support for deployment activities.
- Identify and track cutover activities in coordination with Novartis Project Managers.
- Engage with Product Owners to break down features into high-level user stories.
- Provide ongoing clarifications on requirements and support release planning and monitoring.
- Review and support escalated issues during UAT.
- Participate in go-live planning and execution.
- Lead knowledge transfer sessions for internal and external stakeholders.
- Document PO processes, product knowledge, and configurations.
- Support ad hoc requests from Novartis PMs, IT, and other stakeholders as needed.
Essential:
- Strong understanding of Agile/Scrum delivery processes
- Experience writing clear, actionable user stories and acceptance criteria
- Ability to conduct high-level testing and validate business requirements
- Strong coordination and communication skills with technical and non-technical stakeholders
- Experience managing and triaging defects during UAT
- Ability to work independently and handle shifting priorities in a fast-paced environment
- Detail-oriented with a focus on quality and delivery
- Experience with tools like Jira, Azure DevOps, or similar
- Background in product management or business analysis
- Familiarity with enterprise IT systems or regulated environments
- Experience supporting large-scale system implementations
- Understanding of release planning and cutover strategies
- Bachelor's degree in a relevant field (e.g., Business, IT, Engineering)
- 2+ years in a Product Owner, Business Analyst, or similar role
- Certified Scrum Product Owner (CSPO) or equivalent is a plus
