REPORTING TO - Manager Fleet Personnel (Recruitment)

OBJECTIVE

  • The Executive HR (Seafarers) is responsible for the recruitment of seafarers according to the company selection criteria.
  • This includes ensuring that recruits possess the proper certifications and ensuring that recruitment processes are within the budgetary limits set by management.
  • Additionally, the role involves the preparation of recruitment reports and maintaining up-to-date software records.

  • The Executive HR (Seafarers) is responsible for recruiting seafarers according to the company's selection criteria, ensuring proper certifications, and adhering to budget constraints.
  • Key duties include contacting and screening applicants, ensuring senior officers complete required documentation, and updating the Phoenix system.
  • The role also involves assisting in scheduling mandatory courses for officers/engineers and coordinating logistics (travel and accommodation) in collaboration with the CTO.

EXPERIENCE

  • Min. 1-2 Years in Sourcing profiles of Seafarer.
  • Proven experience in Sourcing in the Shipping Industry (mainly Officers/Engineers)
  • Experience in negotiating with Seafarers.


ROLES & RESPONSIBILITIES

  • Call new applicants from the available database and meet the calling targets assigned by the team leader.
  • Screen applications according to guidance from the Superintendent.
  • Ensure all senior officers complete the OC-09 form, either by visiting the office or submitting it via email. Collect necessary signatures from the officers during their visit.
  • Update the Phoenix system with the status of new applicants as contact is established with senior officers.
  • Assist Manning Superintendents with scheduling prerequisite courses for officers and engineers.
  • Coordinate logistics for course attendance, including travel and accommodation bookings.
  • Work closely with the Chief Technical Officer (CTO) to ensure smooth planning and scheduling of courses for officers/engineers.
  • Ensure that recruitment follows the companys budgetary constraints and recruitment matrix.
  • Follow up with ex-hands to ensure smooth recruitment processes and maintain records.
  • Prepare regular reports related to recruitment activities and ensure software updates are maintained.


TECHNICAL SKILLS


Microsoft Office Suite (Word, Excel, etc.): Skills in preparing reports, managing data, and communicating effectively via email and documents



SOFT SKILLS


  • Communication Skills: The ability to effectively communicate with applicants, senior officers, and team members via phone, email, and in-person interactions.
  • Organizational Skills: Strong ability to manage multiple tasks such as recruitment, scheduling, and logistics coordination, ensuring everything is done on time and efficiently.
  • Attention to Detail: Ensuring that all documentation, forms, and recruitment processes are completed accurately and in compliance with company standards.
  • Teamwork: Collaborating closely with other departments, such as Manning Superintendents and the Chief Technical Officer, to coordinate course planning and logistics.
  • Problem-Solving: Ability to handle issues that may arise in the recruitment process, finding effective solutions in a timely manner.
  • Adaptability: Flexibility to work with international time zones.
